BOOKING & ATTENDING CLASSES

2. Booking classes

Classes must normally be booked in advance through our booking system.

Bookings are subject to availability.

You are responsible for ensuring that the class you book is appropriate for you and for providing accurate and up-to-date information when creating and maintaining your account.

You must not allow another person to attend using a booking made in your name unless Studio Four has agreed otherwise.

3. Arriving for your class

Please arrive in sufficient time for your class.

If you are new to Studio Four, please arrive at least 10 minutes before your first class so that you can familiarise yourself with the studio and reformer equipment.

For safety and to avoid disrupting other clients, we may be unable to admit you once a class has started.

If you are refused entry because you arrive late, the booking may be treated as a late cancellation.

CANCELLATIONS & NO-SHOWS

4. Cancelling a class

We understand that plans change.

You can cancel or reschedule a class through your Studio Four booking account.

Standard cancellation

If you cancel at least 24 hours before the scheduled start of the class:

  • a class credit used for the booking will be returned to your account; or

  • where appropriate, the booking can be rescheduled in accordance with the terms of your purchase.

Late cancellation

If you cancel less than 24 hours before the class starts, this will be treated as a late cancellation.

For bookings made using a class credit or class pack, the class credit will normally be treated as used.

For memberships that include a specified number of classes, the class will normally be deducted from your allowance.

No-show

If you do not attend a class and have not cancelled it beforehand, the booking will be treated as used.

These policies help us make cancelled spaces available to other clients and operate classes with limited reformer capacity.

Nothing in this section affects your statutory rights.

5. Exceptional circumstances

We recognise that genuine emergencies happen.

If exceptional circumstances prevent you from attending or cancelling within the required period, please contact us. We may waive the late-cancellation or no-show policy where we consider it reasonable to do so.

IF WE CANCEL A CLASS

6. Studio Four cancellations

Occasionally we may need to change or cancel a class because of instructor illness, equipment issues, circumstances affecting the studio or another reasonable operational reason.

We may cancel a reformer class where fewer than 2 clients are booked, or a studio class where fewer than 3 clients are booked.

If we cancel a class, the credit used to make the booking will be returned to your account or, where appropriate, we will offer an alternative class or refund.

We will try to give you as much notice as reasonably possible.

We are not responsible for additional expenses you incur because of a class being changed or cancelled, except where the law provides otherwise.

CLASS PACKS & CREDITS

7. Class packs

Class packs are personal to the customer who purchases them and may not normally be transferred or shared with another person.

A class credit is redeemed when you book and attend a class or where the credit is treated as used under our late-cancellation or no-show policy.

8. Expiry

Class packs must be used within the period stated when you purchase them.

5 Class Pack: 2 months
10 Class Pack: 4 months

The applicable expiry date will be shown when you purchase your class pack.

Please make sure you can reasonably use the classes within the relevant period before purchasing.

We may extend an expiry date where there are exceptional circumstances, including certain medical circumstances, at our reasonable discretion.

MEMBERSHIPS

9. Memberships

The classes and other benefits included in your membership will be explained when you purchase it.

Memberships are personal to you and cannot be shared or transferred.

You are responsible for booking your own classes, and membership does not guarantee availability in any particular class or at any particular time.

Unused monthly class allowances do not roll over into subsequent months.

10. Membership payments

Membership fees will be collected using the payment method agreed when you join.

You are responsible for ensuring that your payment information remains valid and that payments can be collected when due.

If a payment fails, we may contact you and temporarily suspend access to membership benefits while the payment remains outstanding.

11. Cancelling a rolling membership

You can cancel a rolling membership through Instabook.

We require one month notice.

Once your membership ends, no further membership payments will be taken, other than amounts that became due before your membership ended.

You can continue to use the membership benefits you have paid for until the effective cancellation date, subject to these Terms.

12. Fixed-term memberships

Where you purchase a membership with a minimum term, the minimum term and payment commitment will be clearly stated before you purchase.

After the minimum term, your membership will move to a monthly rolling membership, as explained to you when you sign up.

Any applicable cancellation rights will be clearly explained before purchase.

13. Membership freezes

We may allow a membership to be frozen in circumstances such as:

  • pregnancy;

  • injury or illness;

  • extended travel; or

  • other exceptional circumstances.

Please contact us to request a freeze.

Any minimum and maximum freeze periods and any applicable conditions will be explained when the freeze is agreed.

HEALTH & SAFETY

14. Health questionnaire

Before attending your first class, we may ask you to complete Studio Four's Health & Physical Activity Readiness Questionnaire.

You must answer the questions accurately to the best of your knowledge.

You must tell us about any relevant change in your health, injury, pregnancy, medication or other circumstances that may affect your participation in a class.

Depending on the information you provide, we may ask you to speak to an instructor before participating or recommend that you obtain appropriate advice from a healthcare professional.

Health information is handled in accordance with our Privacy Notice.

15. During your class

You are responsible for listening to your body and exercising within your own capabilities.

Please:

  • follow reasonable instructions given by your instructor;

  • tell your instructor about any relevant injury or limitation;

  • stop exercising and inform your instructor if you experience pain, dizziness, unusual shortness of breath, chest discomfort or feel unwell; and

  • use the reformer and other equipment only as instructed.

Our instructors may modify an exercise or ask you to stop participating where they reasonably consider this appropriate for your safety.

16. Pregnancy and postnatal participation

If you are pregnant or have recently given birth, please tell us and your instructor.

You are responsible for following advice given to you by your doctor, midwife or other healthcare professional in relation to exercise.

Your instructor may modify exercises where appropriate.

YOUR BELONGINGS

17. Personal belongings

Please take reasonable care of your belongings while at Studio Four.

We cannot guarantee the security of personal belongings brought into the studio.

Nothing in these Terms excludes or limits liability where it would be unlawful for us to do so.

PRICES & PAYMENT

18. Prices

Current prices are displayed through our website or booking system.

The price shown when you make your purchase is the price applicable to that purchase unless there has been an obvious pricing error.

We may change our prices from time to time.

A price change will not retrospectively change the price of a class pack or other service you have already purchased.

Where we propose to change the price of an ongoing membership, we will give you reasonable advance notice and explain any applicable right to cancel.

19. Promotions and introductory offers

Promotional offers may be subject to additional conditions, including eligibility requirements, booking periods and expiry dates.

These will be made clear when the offer is advertised.

Unless otherwise stated, introductory offers are available once per person.

REFUNDS

20. Refunds

Your rights to a refund depend on the product or service purchased and the circumstances.

Where you cancel an individual class within our permitted cancellation period, we will normally return the relevant credit to your account.

Class packs and memberships are not automatically refundable simply because you change your mind after beginning to use them. However, this does not affect any cancellation or refund rights you have under consumer law.

If Studio Four is unable to provide a service you have paid for, we will provide an appropriate replacement, credit or refund depending on the circumstances.

BEHAVIOUR IN THE STUDIO

21. Respectful environment

We want Studio Four to be a welcoming and respectful environment.

We may ask someone to leave or refuse future bookings where they:

  • behave abusively, threateningly or inappropriately towards instructors, staff or other clients;

  • deliberately misuse equipment;

  • repeatedly disregard reasonable health and safety instructions; or

  • otherwise seriously disrupt the studio or its classes.

Any action we take will be proportionate to the circumstances and will not affect rights you have under consumer law.

LIABILITY

22. Our responsibility to you

Studio Four will provide its services with reasonable care and skill.

Nothing in these Terms excludes or restricts liability where doing so would be unlawful, including liability for death or personal injury caused by our negligence.

You remain responsible for giving us accurate information about matters that may be relevant to your participation and for following reasonable instructions given by your instructor.

PRIVACY

23. Personal information

We process your personal information in accordance with our Privacy Notice.

Our Privacy Notice explains what information we collect, why we use it, who we may share it with, how long we retain it and your rights.

Our Privacy Notice can be found on our website.

CHANGES TO THESE TERMS

24. Changes

We may update these Terms from time to time.

Where a change materially affects an ongoing membership or other existing contractual arrangement, we will give you reasonable notice of the change and, where appropriate, the opportunity to cancel before it takes effect.

GENERAL

25. Your statutory rights

Nothing in these Terms affects your statutory rights as a consumer.

26. Governing law

These Terms are governed by the laws of England and Wales.

If you live in England or Wales, you may bring legal proceedings in the courts of England and Wales.

If you live elsewhere in the UK, you may also have rights to bring proceedings in the courts applicable where you live.
