Information we collect

When you create an account, book or attend a class, contact us, or otherwise use our services, we may collect information including:

  • your name and contact details;

  • account and booking information;

  • classes booked and attendance history;

  • payment and transaction information;

  • communications between you and Studio Four;

  • emergency contact information, where provided;

  • marketing preferences; and

  • health information that you choose to provide through our Physical Activity Readiness Questionnaire (PAR-Q) or otherwise tell us where it is relevant to participating safely in our classes.

Health information is treated as special category personal data and receives additional protection under data protection law.

Why we use your information

We use your personal information to:

  • create and administer your Studio Four account;

  • manage class bookings, cancellations and attendance;

  • take and administer payments;

  • communicate with you about your bookings and our services;

  • provide and manage our Pilates classes and other services;

  • understand relevant information you provide about your health, injuries or physical limitations so that we can take these into account when providing our services;

  • respond to enquiries and complaints;

  • maintain appropriate business and financial records;

  • protect our business and establish, exercise or defend legal claims where necessary; and

  • send you marketing communications where we are permitted to do so.

Health information and your PAR-Q

Before participating in our classes, we may ask you to complete a PAR-Q containing questions about your health, injuries, pregnancy, medical conditions or other matters relevant to exercise.

We collect this information so that Studio Four and, where appropriate, your instructor can understand information you have provided that may be relevant to your participation in a class.

Health information is special category personal data under UK data protection law. Where we rely on your explicit consent to process the health information you provide through your PAR-Q, you may withdraw that consent at any time by contacting us at hello@studiofourpilates.com

Withdrawing consent does not affect the lawfulness of processing carried out before your consent was withdrawn. Depending on the circumstances, if we cannot process information that we reasonably need in order to provide a particular service safely, we may not be able to provide that service to you.

You should let us know if information you have provided in your PAR-Q materially changes.

Our lawful bases

Depending on why we are using your information, we rely on one or more lawful bases under UK data protection law, including:

Contract – where processing is necessary to provide services you have requested, such as administering your account, bookings and payments.

Legitimate interests – where necessary for our legitimate business interests, provided those interests are not overridden by your rights and interests. This may include operating and improving the studio, responding to enquiries and protecting our business.

Legal obligation – where we need to process information to comply with a legal requirement.

Consent – where we have asked you for consent, for example for certain marketing activities.

For health information provided through our PAR-Q, where applicable we rely on your explicit consent as our condition for processing special category personal data.

Who we share your information with

We only share personal information where reasonably necessary.

This may include:

  • our booking and studio-management provider, Instabook;

  • payment processors used to process your payments;

  • instructors working with Studio Four where they need relevant information to provide your class or service;

  • professional advisers such as our accountants, insurers, lawyers or other advisers where necessary;

  • IT and other service providers who support our business; and

  • regulators, law enforcement bodies or other authorities where required by law.

We do not sell your personal information.

Where information is processed outside the UK, we will take appropriate steps to ensure that it is protected in accordance with applicable data protection law.

How we protect your information

We take appropriate organisational and technical measures to protect personal information against unauthorised access, alteration, disclosure or loss.

Access to personal information, particularly health information, is limited to people who reasonably need access to it for their role.

How long we keep your information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet any legal, accounting, insurance or reporting requirements.

We apply appropriate retention periods to different categories of information and periodically review the information we hold.

PAR-Q and health information will not be retained for longer than reasonably necessary for the purposes for which we collected it. We will generally retain PAR-Q and health information for three years following your last attendance at Studio Four Pilates.

When information is no longer required, we will delete it securely or anonymise it where appropriate.

Marketing

We may contact you about Studio Four classes, events, offers and services where you have agreed to receive marketing or where we are otherwise permitted to do so.

You can unsubscribe from marketing communications at any time by using the unsubscribe link in an email or contacting us.

Opting out of marketing will not prevent us from sending you essential service messages relating to your account or bookings.

Your rights

Depending on the circumstances, you have rights in relation to your personal information. These can include the right to:

  • request access to the personal information we hold about you;

  • ask us to correct inaccurate or incomplete information;

  • ask us to delete your information in certain circumstances;

  • ask us to restrict how we use your information;

  • object to certain uses of your information;

  • request transfer of certain information to you or another organisation; and

  • withdraw consent where we rely on consent.

To exercise any of these rights, please contact hello@studiofourpilates.com

Complaints

If you have concerns about how we use your personal information, please contact us first so that we can try to resolve them.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator. Further information is available at ico.org.uk.
